seeking a highly motivated and talented individual to join our team as the Dean of Fine Arts
Senior Secretary. This is an exciting opportunity to work in a creative environment and

Role and Responsibilities
General Duties:
Composes and finalizes letters, narratives, memos, reports, and forms to produce accurate
documents.
Records, transcribes, and distributes formal minutes of meetings to provide detailed
records of proceedings and decision-making.
Responds to requests or questions regarding routine program operations to
disseminate information and aids the dean, faculty and the public.
Assists with travel arrangements for dean and faculty
Establishes and maintains computerized and manual filing systems by determining
file naming and organizational methods for data files; and following standard filing
procedures for correspondence, forms, and other documents to ensure accurate
storage and retrieval capabilities.
Maintains records of fiscal activities to track expenditure of allocated funds, and
incoming fees and other daily revenues.
Specific Duties:
Assists the Dean of Fine Arts as well as Music, Art, and Theatre faculty with
purchasing, forms, etc as needed
Oversees student labor and work study students
May be asked to assist with occasional evening events/concerts.
Knowledge and Experience
Knowledge, Skills, and Abilities: The Dean’s secretary should have knowledge of: business
English including grammar, spelling, and punctuation; modern office equipment, practices,
and procedures; basic bookkeeping; computer software applications; and department rules,
procedures, and functions. Dean’s secretary should also have the ability to: type accurately,
in positions requiring keyboarding; gather, compare, and summarize data from a variety of
sources; communicate information clearly and concisely; review and comprehend materials;
establish and maintain effective working relationships with other employees and the general
public
Required qualifications
Minimum; high school diploma or GED. Associates or above degree preferred.
